Active Access IAM - Onboarding - Onboarding My Organization for Active Access

Introduction

This article applies to new security administrators who wish to onboard their organizations to Active Access. This article will provide general instructions, however, additional steps may be required for access to various partner portals.

Details

1. Navigate to the Active Access login page

2. Click on the New User? Register Here link

3. Check to determine if your organization has already registered for Active Access. You can do this by searching for your company either by your organization's name or by Vendor Code. To search by organization name, enter the organization name and click the search button. To search by vendor code, select the service package (partner portal)  then enter the vendor code and click the search button.

4. Review the list of possible matches to your search.

A. If your organization is listed, select the radio button and click next. You will be able to continue the registration process as a new user. Click here to review the new user registration instructions.

B. If your organization is not listed:

i. you can choose to search again by clicking the Edit Search link on the page. If you find results by editing your search, you can follow the new user registration instructions found here.

ii. you can choose to create a new organization by clicking the Create Organization button. Click on the Yes button on the confirmation screen.

5. The first user to onboard a new organization will become the Security Administrator. Review the Security Administrator's responsibilities, reading carefully to ensure you understand the Security Administrator's role. Click the I Accept button. 

6. Enter your organization details including the name, address, country, state or province, city, and postal code. Note that organization names must be unique. Click the Next button to continue.

7. Enter the desired user ID that you will use to log in. You may select any user ID you wish, however, it must be unique. Click the Check Availability link to ensure that the ID will be unique in the system. Enter the desired password. To review the password rules click the information icon next to the Retype Password box.  Enter your name, address, email, and phone number details. Click the Next button.

8. Select the desired service package. If you do not know which service packages you may need, you'll need to inquire from the persons who instructed you to onboard for Active Access for the correct service package name(s). Click the Next button.

9.  Review the request details. Some service packages require additional information such as vendor code.  You will be prompted to enter vendor codes, review the terms and conditions, enter additional information, and request reasons where required. Once complete, click the Next button.

A. If the requested service package requires vendor codes AND you have used a vendor code that has not been onboarded previously, your organization will be designated the Service Authority Organization - that is the super admin for your vendor code and all vendor codes linked to your corporate entity. The popup will describe the responsibilities of the SAO administrator. Click the Continue button to move forward or abandon the onboarding flow by clicking Cancel.

B. If the requested service package requires vendor codes AND you have used a vendor code that has been onboarded previously, the pop-up window will provide the opportunity to register as a new user in the previously onboarded organization by clicking the Register link. To continue with onboarding the new organization, click the Continue button. The organization you create will be deemed an Affiliate of the previously-onboarded organization.

10. Review the summary of your onboarding request, then click the Submit button. Note that some service packages require additional steps for onboarding to be complete. If that is the case you will be redirected to a screen to input some additional information before the onboarding request is complete.

11. The onboarding request will be routed to the appropriate administrator to be reviewed and approved or rejected. Once your onboarding request has been approved or rejected you'll be notified by email. If your request has been approved you'll be able to login to Active Access using the user ID and password created during the onboarding process.
